NENS ONE Privacy Policy

NENS ONE is an enterprise business and workforce management application. This Privacy Policy explains how information may be collected, processed, stored, protected, and shared when authorized users access NENS ONE.

Information We Process

Depending on the features enabled by an organization, NENS ONE may process account and profile information such as name, email address, phone number, employee identifier, job title, department, company, role, profile photo, and authentication information.

NENS ONE may also process employment and operational information including attendance records, check-in and check-out times, payroll information, salary profiles, My Money balances, settlement records, expense claims, travel and visa requests, equipment assignments, vehicle information, tasks, approvals, projects, purchase and sales records, warehouse records, shipments, business documents, invoices, contracts, contacts, and messages.

Where an authorized feature requires it, NENS ONE may process location information, camera input, photographs, uploaded files, documents, device information, diagnostic information, security logs, and application usage information.

How We Use Information

Information is used to authenticate users, provide enterprise features, manage employees and business operations, record attendance, manage payroll-related records, process authorized business workflows, maintain audit records, improve security, troubleshoot technical problems, and support legitimate organizational, contractual, accounting, regulatory, and legal requirements.

Artificial Intelligence Features

NENS ONE may provide AI-assisted features. Content intentionally submitted to an AI feature may be processed by authorized cloud or AI service providers to generate the requested result. Users should only submit information that they are authorized to process.

Information Sharing

NENS ONE does not sell personal information.

Information may be accessible to authorized employees, administrators, managers, and other organizational users according to their permissions. Information may also be processed by trusted infrastructure and technology providers used for authentication, cloud hosting, databases, storage, notifications, security, communications, diagnostics, or artificial intelligence functionality.

Information may be disclosed where required by applicable law or where reasonably necessary to protect users, the organization, or the security of NENS ONE.

Firebase and Cloud Infrastructure

NENS ONE uses Firebase and related Google cloud services for application functionality such as authentication, databases, cloud functions, storage, notifications, and security. These providers may process information according to their applicable privacy and security terms.

Attendance and Location Data

Where enabled by an organization, attendance, field-work, logistics, or vehicle-related features may process attendance or location information for authorized business purposes. Access depends on organizational configuration, application permissions, and device settings.

NENS Secure VPN

NENS ONE may provide an optional built-in secure VPN feature for authorized enterprise users. The VPN is activated only after direct user action and uses Android's VPN service capability to keep an encrypted tunnel active while the app is in the background. A persistent system notification is displayed while the VPN is active, and the service stops when the user disconnects it.

The VPN feature may process network connection metadata required to establish, maintain, diagnose, and secure the tunnel. NENS ONE does not use the VPN feature for advertising profiling and does not sell VPN traffic or conversation data to advertisers.

Security

NENS ONE uses safeguards designed to protect information, including authenticated access, role-based permissions, encrypted communications, server-side authorization, audit records, and access controls. No electronic system can guarantee absolute security.

Data Retention

Information is retained only as long as reasonably necessary for the purposes for which it was collected and to satisfy legitimate business, employment, contractual, accounting, security, regulatory, and legal requirements. Retention periods may vary according to the type of information and the organization using NENS ONE.

Account and Data Deletion

Authorized users may request deletion of their account and associated personal information through the NENS ONE Support / Help Desk functionality or through their organization's authorized NENS ONE administrator.

Deletion requests may require identity verification. Certain records may be retained where required for legitimate legal, accounting, employment, security, contractual, or regulatory purposes. Information that is no longer required will be deleted or anonymized where applicable.

Enterprise Accounts

NENS ONE is primarily an enterprise application. The organization using NENS ONE may be responsible for employee, customer, supplier, and business information entered into the system. Users may contact their organization regarding access, correction, or deletion of information managed by that organization.

Children's Privacy

NENS ONE is intended for authorized business and enterprise users and is not designed for children.

International Processing

Because NENS ONE supports international business operations, information may be processed or stored outside the user's country when required to provide the service, subject to applicable legal requirements.

Changes to This Policy

This Privacy Policy may be updated when NENS ONE functionality, data practices, or legal requirements change. The latest version will be published on this page with an updated revision date.

Privacy Requests and Contact

Privacy, account-access, correction, and deletion requests may be submitted through the NENS ONE Support / Help Desk or through the organization's authorized NENS ONE administrator.
